Please select the profile to be synchronised by putting a checkmark in front of the profile. Afterwards the Synchronise button will be activated.
The synchronisation can be started manually via this button or via the tray icon menu. Starting or terminating Outlook® can automatically initiate a synchronisation if you have selected the corresponding setting in options.
While a synchronisation is running, all menu items that modify settings are blocked. It is now also no longer possible to interrupt the synchronisation of a profile (the integrity of the individual folders would be unpredictable in such a case).
In the event you select File, Exit during a synchronisation: The SyncTool will not terminate immediately, but first following completion of the synchronisation.
In the first step the content of the respectively associated folder pairs is analysed, in order to assess the current status to compare it with the status after the last synchronisation (e.g. outstanding conflicts).
In the next step the individual messages (or contacts, appointments, etc.) are processed:
If a message has not yet been synchronised then it is copied into the correspondingly associated folders, independent of the content, date created/modified.
If a message has already been synchronised once, then it will be verified whether this message was changed or even deleted after the last synchronisation.
Each message has a timestamp with the time of the last modification. This timestamp exclusively is decisive for the action to follow. If it was prior to the last synchronisation, the message will be categorised as unmodified, if it was after the last synchronisation, it will be considered modified.
The possible variations:
Message in the local store folder |
Action | Message in the linked global store folder |
Unmodified | None | Unmodified |
Deleted | None | Deleted |
Unmodified | <- Copy Message is overwritten |
Modified |
Modified | Copy -> Message is overwritten |
Unmodified |
Unmodified | <- Message is deleted* or delete resolution |
Deleted |
Deleted | Message is deleted* -> or delete resolution |
Unmodified |
Modified | Conflict resolution | Modified |
Modified | Conflict resolution | Deleted |
Deleted | Conflict resolution | Modified |
*If Show dialog to confirm before deleting items is activated in options then a delete resolution dialogue will be displayed. Should the option be deactivated then the messages will be deleted immediately. Deletion in SyncTool is always permanent. Entries upon deletion are not first moved to the deleted items folders.
All actions not requiring enquiries are executed first.
Actions requiring an enquiry are held for all profile folders and at the conclusion are handled as a group as delete resolution and conflict resolution dialogues.
These resolution dialogue boxes are described in detail in the following sections of the manual.
The Initial Synchronisation Process
At the initial synchronisation - the first synchronisation of two folders the SyncTool does not check for would-be conformity of the entries. The entire contents of the local folders are copied into the global folders and the entire content of the global folders into the local folders:
Messages in the local store folder |
Action | Messages in the linked global store folder |
All messages | Copy -> | |
<- Copy | All messages |
During the initial synchronisation the SyncTool creates a protocol about the associated entries in the connected folders. This protocol is used and updated for the following synchronisation.
Because each of the Public SyncTool profiles has an independent protocol, an initial synchronisation is always performed in a newly created or even a second profile.
Delete the link between the two folders and the related protocol will be deleted the next time synchronisation runs. You will thereby have the opportunity to easily restore a mistakenly deleted connection.
